GENERAL TERMS & CONDITIONS

EVENT INFORMATION Some of our events operate subject to a minimum number of bookings. If this number is not achieved, cancellation will take effect no later than the date on which the final balance payment becomes due. Every effort is made to provide as much information as possible about the event.  However, changes, errors and omissions do occasionally occur. You must, therefore, ensure you check all details of the event (including the price) with us at the time of booking. When we request specific participant information this must be provided promptly. All timings are provisional and for guidance only.

ACCOMMODATION Where accommodation is included, hotel ratings used refer to local classifications. Grading systems vary from country to country and cannot be compared. Occasionally it may be necessary to use an alternative hotel of equal standard from that previously advised and you will be notified at the earliest opportunity. The term `hotel’ includes motels, inns and other equivalent establishments according to local classification.

SPECIAL REQUESTS Any special requests made on your booking form are noted and we do our very best to comply with these wherever possible. However, although we do make every effort to meet your requirements, they cannot guaranteed.

ACTIVITIES Where applicable those participating in the event activities are responsible for deciding that they are sufficiently fit and healthy to take part in the activity.

INSURANCE Travel Insurance is not included in the package price and you are advised to take out appropriate and suitable cover to also include any and all activities that you may be participating in. Adrenaline F1 Ltd carry a combined £5,000,000 Tour Operators Liability Policy and Public Liability Policy (copy available on request).  3rd party activity suppliers may also carry their own insurance policies specific to their provided activity. Notwithstanding this you may be asked to sign a disclaimer relating to any activities that you may participate in.

NAMES A list of names of those attending the event will be required at least 14 days prior to the event date (separate arrangements exist for certain events). We reserve the right to charge any additional administration costs incurred should the names be subsequently changed or received later.

CONFIRMATION The event will be confirmed when we invoice you or send you an email confirmation of booking. As soon as we do so, there will be a binding legal agreement between us.

DEPOSIT & PAYMENT A deposit relating to 50% of the total price is required to secure your booking (unless otherwise specified). The balance due is payable 12 weeks before departure date. Bookings received within 12 weeks of the event must be accompanied by full payment.  If we have not received the full amount due 12 weeks before the start of the event we will telephone and/or email you as a reminder to pay the balance. If this full amount is not paid with one week, we will assume that you want to cancel the event. In this case, you will have to pay the cancellation charges as set below. VAT will be charged where applicable at the prevailing rate.

CANCELLATION 1. If you want to cancel the event this must be confirmed in writing by email.  The event will be cancelled on the date we actually receive and acknowledge your email of cancellation. A cancellation fee will be charged as follows:

More than 84 days prior to the event start: Loss of deposit. 42-84 days: 75% of event cost. Less than 42 days: 100% of event cost.

CANCELLATION 2. We cannot accept any liability where the event or any of the services we have promised to arrange or provide cannot be provided as a result of reasons which are outside our control. Such reasons are likely but not limited to: threat of war, acts of terrorists or threats of such acts, riots or civil unrest, industrial action, natural or nuclear disaster, adverse weather conditions, fire, epidemic, pandemic, liquidation of businesses and all similar reasons or circumstances which are outside our control.

CHANGES BY US We reserve the right to make changes or amendments to the event/itinerary as may be forced on us by changes of circumstances beyond our control.

CHANGES BY YOU In exceptional circumstances (as decided by us) we will consider transferring your payments to another Event which must be taken within 12 months of the original booking.

SUPPLIERS We use independent suppliers to provide some of the services which may make up your event (for example restaurants and hotels). These suppliers may have their own terms and conditions and public liability insurance in place.

SURCHARGES We reserve the right to apply a surcharge where currency fluctuations or other circumstances beyond our control deem this necessary.

TRAVEL DOCUMENTS The client or customer is responsible for ensuring that all travel documents that may be required for non-UK events e.g. Passports/visas are valid and effective. Travellers who are not British Citizens should check with the consulate or embassy of the country to be visited

YOUR CONTRACT Your contract with us is made under the terms and conditions detailed in this document and subject to English Law and jurisdiction.
